2. General Information
We process personal data (hereinafter: data) in accordance with the Swiss Federal Data Protection Act (revDSG) and, where applicable, the EU General Data Protection Regulation (GDPR).
3. Data Collected and Purposes
a) Website & Communication
Contact form / email: Name, email, phone number, message → used to process inquiries.
Server log files: IP address, browser, referrer, time, operating system → used for security and functionality.
b) Retreats & Online Courses
Contract data: Name, address, email, phone number → booking administration.
Optional health data: e.g., dietary information, allergies, psychological notes → processed only with consent and solely for preparation/execution.
Participant lists: kept internally; only necessary information (e.g., name, dietary info) is shared with seminar houses.
c) Payment Processing
Invoices: Name, address, billing details.
Managed manually; stored on Google Drive and partly on Dropbox.
4. Newsletter
a) Direct Subscription
If you subscribe to our newsletter through the sign-up form, we store your email address and use it exclusively for sending the requested information. Subscription follows a double opt-in procedure; without confirmation, no addition to the mailing list is made.
b) Automatic Subscription Following Course Registration
If you register for one of our courses or retreats, we include your email address in our newsletter list to inform you about course details, organizational updates, and related offerings. Legal basis: contract fulfillment (Art. 6(1)(b) GDPR) and legitimate interest (Art. 6(1)(f) GDPR).
c) Revocation
You may unsubscribe at any time via the unsubscribe link in the newsletter or by emailing team@shaolinchanarts.com.
5. Cookies & Tracking
We use cookies:
- Technically necessary: required for essential website functions.
- Marketing: possibly Google Ads, Facebook Pixel.
Vercel Analytics: Our website uses Vercel Analytics, which does not use cookies and collects anonymized usage data (page views, visitor numbers, device types, approximate user locations). Processing is based on Art. 6(1)(f) GDPR. Data transfers to the U.S. occur under the EU–US Data Privacy Framework.
Upon first visit, a cookie banner appears allowing consent or refusal.
Referral tracking: If you access our website via a partner link (e.g., ?ref=...), this information is stored locally in your browser (localStorage) for up to 30 days. It is used solely for allocating referrals for commissions. No personal data is stored.
6. Third-Party Providers
- Hosting: hostfactory (Switzerland).
- Analytics: Vercel Analytics (USA, certified under EU–US Data Privacy Framework).
- Newsletter: Brevo (France/EU; data processing agreement under Art. 28 GDPR).
- Media & Plugins: YouTube, Google Maps, social media plugins (Facebook, Instagram, LinkedIn).
- Cloud storage: Google Drive, Dropbox (internal use only, access protected).
7. Data Sharing
Data is shared only when:
- it is required to fulfill the contract,
- a legal obligation exists, or
- consent has been given.
8. Storage Duration
Data is deleted as soon as the purpose ceases.
Invoices & booking documents: 10 years (legal retention obligation).
